Access EasyPay HR suite

Complete HR and payroll, from hire to payslip.

We implement and support Access EasyPay for employers across Malaysia — the employee record, leave, attendance, self-service and the monthly pay run, working as one system rather than four that need reconciling.

Implementation, training and ongoing support delivered by our own consultants from Johor Bahru — not a reseller helpdesk.

The suite

Four modules, one employee record

Start with payroll and add what you need. Every module reads from the same employee data, so a leave approval reaches the pay run without anyone re-keying it.

Compliance

Legislation changes. Your pay run should not.

Keeping up with statutory change is our job, not your HR team's. Rates and submission formats are maintained in the software and delivered to you as updates — so the month you find out about a change is not the month you have to react to it.

  • Files and records aligned with current Inland Revenue Board of Malaysia (LHDN) requirements
  • Statutory submissions for LHDN tax, EPF, SOCSO and EIS
  • Support for the statutory regimes of seven Asia Pacific jurisdictions
  • Access control on top of usernames and passwords, so only authorised users get in

  • Net pay to employees 562,100
  • EPF employee (11%) 77,000
  • PCB / MTD 56,000
  • SOCSO & EIS 4,900
  • Gross payroll (MYR) 700,000

Every deduction is computed from rates we maintain, and every line is traceable back to the pay element that produced it.

Payroll

Every pay element, visible and auditable

Track and manage each employee's pay while computing bonuses and incentives from criteria and formulas you define. Multiple pay records per employee cover allowances, deductions and reimbursements without workarounds.

  • Customisable pay periods and pay items
  • Multiple user-defined overtime tables and rates
  • Itemised payslips, emailed to employees
  • A quick look at any employee's pay history
  • Support for various banks and statutory submissions
  • Payroll summary, variance and bonus analysis reports

Leave

Policies that match how you actually operate

Get the HR templates, leave types, calendars and reports that private and public organisations use — then create your own. Assign different policies to different groups, with entitlement based on calendar year, fiscal year, hire date or confirmation date.

  • Unlimited leave types per individual or group
  • Colour-coded leave types in calendar view
  • Credit leave and expiry handling
  • Leave suspension and forfeit functions
  • Employee leave policy progression
  • Leave costing and provision reporting

Each leave type carries its own colour in calendar view, so a manager can read a month at a glance before approving the next request.

How we work

Software is the easy part

Most payroll projects fail on data and on the first live run, not on features. This is the sequence we use.

  1. Scope your requirements

Headcount, pay cycles, allowance and deduction structures, overtime rules, leave policies and the systems you run today.

  2. Migrate and configure

Employee master data, opening balances and year-to-date figures brought across, then pay items, formulas and policies set up to match your scope.

  1. Parallel run

We run a period alongside your existing process and reconcile the variances line by line before anything is paid from the new system.

  2. Train, go live, support

Your team is trained on their own data. After go-live you get statutory updates and a support line to consultants who know your configuration.

Coming from another payroll system? Bring your last two closed periods. If the parallel run does not reconcile, we would rather find that out before you commit than after.

Common questions

Before you get in touch

Do we have to take the whole suite?

No. Payroll is the usual starting point and the other modules are add-ons. Access EasyTime and Access E-Portal are designed to feed the leave and payroll modules, so they are most useful once those are in place.

Who keeps the statutory rates up to date?

We do. Rate and format changes for LHDN, EPF, SOCSO and EIS are maintained in the software and issued to supported customers as updates, so your team does not have to track legislative changes to keep the pay run correct.

Can employees see their own payslips?

Yes — through the Access E-Portal. Employees view monthly payslips and their EA electronically, update personal details, and submit leave and claim applications. Managers approve by email, and approvals flow back into the leave and payroll modules automatically.

Do you support employees outside Malaysia?

The software covers the legislation of seven Asia Pacific jurisdictions: Malaysia, Singapore, Hong Kong, Indonesia, Thailand, the Philippines and Brunei. Tell us where your headcount sits and we will confirm the fit for your entities.

How long does implementation take?

It depends on headcount, how clean the source data is and how many pay rules need building. We scope that with you up front rather than quoting a number that will not survive contact with your data — and we always include a parallel run before go-live.

Talk to someone who has run this migration before

Tell us your headcount, your pay cycle and the system you are on today. We will show you what a switch to Access EasyPay actually looks like — timeline, data migration and parallel run included.
